Who We Are and How to Contact Us About Privacy

Okla Électrique Inc. is the business responsible for the personal information collected through our website and in the course of providing our electrical services. Our office is located at 12187 Rue Joseph-Casavant, Montréal, Québec H3M 2C7, Canada.

As required by Law 25, we have designated a person within our organization who is in charge of the protection of personal information. By default under Law 25, this role is held by the person exercising the highest authority within Okla Électrique. The person in charge oversees how we collect, use, retain and protect your information and how we respond to your privacy requests.

Personal Information We Collect

We collect personal information in two main ways: information you give us directly, and information that is collected automatically when you use our website. We only collect what we reasonably need to respond to you and to deliver our electrical services.

• Information you provide to us: your name, contact details (telephone number, email and mailing address), the service address where work is to be performed, and the details of your electrical project or request (for example the type of work, the property and any information you choose to share so we can prepare a quote). This includes anything you send us through our website quote and contact forms, our newsletter sign-up, our live-chat widget, or by phone and email.
• Information collected automatically: when you visit https://oklaelectrique.ca we may collect technical and usage data such as your device and browser type, your IP address, the pages you view, and how you interact with the site. This information is gathered through cookies and similar technologies, as described below.

How We Use Your Information

We use your personal information for legitimate business purposes connected to running our electrical contracting business and our website. Specifically, we use it to:

• Respond to your quote requests, contact form submissions, live-chat messages and other enquiries.
• Schedule, plan, perform and follow up on the electrical services you request.
• Prepare estimates and contracts, issue invoices and process billing and payments.

Automated Decision-Making

We do not make decisions about you based exclusively on the automated processing of your personal information. If this ever changes, we will inform you and give you the opportunity to submit observations, as required by Law 25.

Consent

Under Law 25, we collect, use and disclose your personal information with your consent, except where the law allows or requires us to act without it. When you contact us, request a quote or sign up for our newsletter, you are consenting to our use of the information you provide for the purposes described in this policy. For our newsletter and other promotional communications, we ask for your express consent and you can withdraw it at any time.

You may withdraw your consent at any time by contacting us at info@oklaelectrique.ca, subject to legal or contractual restrictions and reasonable notice. If you withdraw consent, we may no longer be able to provide certain services or communications. Withdrawing consent does not affect any processing we carried out before the withdrawal.

Cookies and Similar Technologies

Our website uses cookies and similar technologies, including browser local storage, to make the site work properly and to understand how it is used. Essential and functional cookies are necessary for the site to function and to remember your preferences. For example, we store your dark/light theme preference in your browser's local storage so the site displays the way you chose on your next visit.

We also use a third-party live-chat widget so you can message us directly from the site, and analytics technology that helps us understand website traffic and improve the site. These tools may set their own cookies or collect usage data when you interact with them.

We also use session-replay analytics that records how visitors interact with the site (clicks, mouse movements, scrolling and the pages viewed) to understand usage and improve the site. Text entered into form fields is masked and is not captured. A brief notice is shown on your first visit. This information is processed on our behalf by our service provider, retained for a limited period, and then deleted. You can opt out at any time by contacting us at info@oklaelectrique.ca.

Sharing and Disclosure of Your Information

We do not sell your personal information. We share it only as needed to run our business and our website, and only with safeguards in place.

Some of these providers, like many widely used online services, may store or process information on servers located outside Québec, including elsewhere in Canada or abroad. We provide this information for transparency, as required by Law 25, and we take reasonable steps to ensure your information continues to receive an appropriate level of protection regardless of where it is processed.

How Long We Keep Your Information

We keep your personal information only for as long as it is needed to fulfil the purposes described in this policy and to meet our legal, tax, accounting and other regulatory obligations. Retention periods vary depending on the type of information and the reason we hold it; for example, records relating to quotes, contracts and invoices are generally kept for the period required by applicable law.

Once your personal information is no longer needed for these purposes, we securely destroy it or anonymize it so that it can no longer be associated with you.

Security

We take reasonable physical, technical and organizational measures to protect your personal information against loss, theft, and unauthorized access, disclosure, copying, use or modification. These safeguards are appropriate to the sensitivity of the information we hold. While we work hard to protect your information, no method of transmission over the internet or method of electronic storage is completely secure, and we cannot guarantee absolute security.

If a confidentiality incident involving your personal information occurs and presents a risk of serious injury, we will take reasonable steps to reduce the risk and will notify the Commission d'accès à l'information du Québec and affected individuals, as required by Law 25.

Your Rights Under Law 25

Québec's Law 25 and applicable Canadian privacy law give you important rights over your personal information. Subject to certain legal conditions and exceptions, you have the right to:

• Access the personal information we hold about you and obtain information about how it is used and disclosed.
• Ask us to correct (rectify) personal information that is inaccurate, incomplete or out of date.
• Withdraw your consent to our use of your personal information.
• Request that we cease disseminating your information or de-index it, and request its erasure where the conditions set out in the law are met.
• Request that the computerized personal information you provided to us be communicated to you, or where applicable transferred to another organization, in a structured, commonly used technological format (data portability).

Exercising Your Rights

To exercise any of these rights, simply contact us at info@oklaelectrique.ca. We may need to verify your identity before acting on your request, to protect your information. We will respond to access and rectification requests within 30 days, as required by Québec law. There is generally no charge to access your information, although in limited cases the law allows reasonable fees to be charged, in which case we will inform you in advance.

Storage Outside Québec

As noted above, some of the service providers we use to operate our website and our business may store or process personal information outside the Province of Québec, including elsewhere in Canada or in other countries. Before entrusting personal information to a service provider outside Québec, we assess whether the information will receive protection that is adequate in light of, among other things, the legal framework applicable where it is processed, as required by Law 25. Where this is the case, we take reasonable steps to ensure that your personal information remains protected by safeguards comparable to those required under Québec law. We provide this notice in the interest of transparency under Law 25.

Children's Privacy

Our website and services are intended for adults and are not directed to children. We do not knowingly collect personal information from minors. Changes to This Policy

We may update this Privacy Policy from time to time to reflect changes in our practices, our services, or applicable law.
